今天我们一起来学习
邮件使用中应知的礼仪事项
邮件是大家非常熟悉的一种联络工具
可是你真的会使用邮件来维护关系
而不是破坏关系吗
进入职场后
你会发现
电子邮件是和客户
顾客
合作单位
同事等联络沟通的最有效的方式
它比信件快又便宜
不像电话那么打扰人
对接收者来说也很方便
所以
它是全世界无数管理人士
首推的职场沟通方式
可是如果使用不恰当
就会给收件方带来困扰
留下不好的印象
要想写好一封E-mail
同学们知道需要遵循哪些规则吗
每天你是不是都要面对屏幕上
一长列的未读邮件
如果是
你就会理解作为职场人
面对一长列未读邮件
需要去处理时的心情了
更糟糕的是
这一堆有很多是不知道发件人
不知道邮件主题的
这样会让收件人的处理效率大打折扣
所以
发邮件前
我们有必要问问自己
这件事情是必须的吗
是否适合通过邮件来沟通
如果邮件被滥用或误用
会加重彼此的工作负担
那么
怎么区分事宜呢
通常来说
电子邮件可以用来做
简单的沟通
比如通知合同什么时候到来
安排预约
或者跟进之前的谈话
发送文本
附件等
而更重要的问题
比如讨论合作细则
建议书
与新客户沟通等
用面对面或电话的方式会更有效
另外
如果收发双方就同一问题的邮件
交流回复超过三次
这只能说明这个问题
不适合用邮件来进行沟通
这时应该果断地采用
电话沟通的方式来解决

电子邮件会泄露秘密
如果你希望给某人发十分私密的
时间敏感的信息
请使用电话或者当面说
电子邮件是可以被容易地复制
转发和打印的
所以不要说出
那些你不想被重复
或者对外张贴的信息

发邮件应该谨慎一些了呢
首先添加附件
附件就如同它的名字所暗示的那样
是最容易被忘记的东西
所以
先把它添加进来吧
接着是写正文和标题
邮件一定要有标题
这样是便于收件人
可以根据标题来判断
处理邮件的顺序
而且标题应该传递邮件的核心信息
电子邮件的重要程度
通常由它的标题来决定
同时
标题应该简短
明确
与邮件内容相关
否则接受者可能会误删
或者把你的邮件当成广告邮件
而将标题放在正文之后写
是因为大多数的邮件客户端
都会向你提醒
没有标题
是否发送
最后写收件人
是因为没有收件人
这封邮件你便发不出去
这样将给你足够的时间
来审视这封邮件
是否存在需要修改的纰漏
而且
随着正文的不断进行
你很有可能会对邮件的标题
收件人进行再次调整
这样的顺序会让你的写作和发送
变得更为有条理性
简洁是发邮件时
必须遵守的规则
如果你希望在邮件中
更好地表明自己的意思
那么
你应该使用倒金字塔的叙述方式
在邮件沟通中
长篇累牍的叙述并不能显示你的写作才华
反而会让人觉得你过于啰嗦
抓不着重点
所以你应在最开始的时候
就尝试着用一小段话
将自己的主要目的表明
首先你应该在邮件最开始时打招呼
表明你的收件人是谁
最好指明谁是这封邮件的任务所属人
你需要清楚地描述
自己的要求或者需求
如果你不知道自己要表达什么
那么
你就不要发出这封邮件
你应该明确自己的需求的时间
并精确到几月几号
越快越好这样的表述往往意味着没有截止日期
你应该要对方明白这件事情对组织
对公司或对彼此合作的重要性
除非你已经事前与对方沟通
否则
请在信中尽可能给对方明确的操作方法

一封明确的邮件应该分点叙述

这样言简意赅
而且各点之间不存在重复
更出色的邮件
则将复杂的事情分成了几个大块
每个大块下面又分成不同的小点
并以紧急性
重要程度进行了排序
并将万万不可遗漏的点
用其他颜色标注出来
这样会使整封邮件变得层次分明
在商务交往中
如果你想给人留下好印象
那么
请记住正式胜过随便
所以要把邮件当成商务信件一样重视
首先
认真地称呼对方
比如
尊敬的张先生
王女士
使用别人的全名
除非他们在回信中用了自己的昵称
因为这意味着他们不介意被随意的称呼
如果对方有职务
那么你最好是称呼他的职务
比如
尊敬的王经理
大多数人更喜欢你在签名栏里面
填上你的全名
职位
公司以及联系方式
如果他们需要通过电话
或邮件联系你时
这些信息将非常有用
但要注意
签名档的信息也不要过多
一般不宜超过四行
只需要放必要的信息就可以了

在商务领域中
没有什么是不严肃的内容
一些邋遢
懒散的E-mail写作
以及发送习惯
不仅会引发他人的窃笑
更容易让我们自己错失良机
如果你发送邮件后没有得到回复
可以发送一封不同的邮件
解释你为什么会跟进
如果需要对方及时的回复
可以打电话或发短信提醒跟进
不断地发同样的邮件会显得你太急躁
而且会给对方处理邮件时带来困扰
不知道你发的几封邮件之间有什么区别
该以哪个邮件为准
另外
这样可能导致你的信息被忽视
或者被当成垃圾邮件
因为很多公司装有反垃圾邮件系统
可以轻松地把你的邮件扫地出门
如果你有必要向一群人
同时发送邮件的话
那么
每一个收件人都应该是
与这封邮件所谈的事情相关的
以避免收件人感到莫名其妙
而且
收到不相关但对大局很重要的邮件
对大多数人来说
更是一种困惑
因为大家会不知道该怎么回应
发邮件有礼仪要求
收邮件也有要求
如果有人给你发邮件提问
而你也没法立刻回答
可以回邮件给发件人解释
你正在研究他们的提问
或者当前不方便回复
一旦有消息了
或方便时会马上回复他们
这样做比较有礼貌
否则
发件人会认为他们的信息
没有到达你的邮箱
或者被你屏蔽了
另外
当你计划在某段时间外出
别忘了使用
不在办公室
自动回复功能
更新你的语音信箱
这样收到邮件时
系统会自动告知来电者
你在旅行中
什么时候回来
或者你不在时可以找谁
最后
回复对方邮件的时候
别忘了根据回复内容需要
对标题进行更改喔
