Hi, there, I am Judy; welcome to the video lesson for letters.

As we all know, letters are the most frequently used type of practical writing, which can be used to negotiate affairs, enhance understanding, maintain friendship and exchange ideas. According to the different requirements, letters can be divided into three categories: Personal Letters, Social Letters and Business Letters.                                                                                                                                                                                                                                                                    

Now, let’s have a look at our contentsThe writing of an envelope3 different formats the structure of the letters as well as some principles of letters.

First, let's look at the writing style of an envelope.

In this example, the addresser's name and address are written in the upper left corner of the envelope, and the addressee's name and address often appeared in the middle of the envelope. Remember that titles are always followed with names. Then, you can affix the stamp to the upper right corner of the envelope.

Then, we move to part two: the format of letters.

We start from 3 different formats: Block Format, Semi-Block Format, and Modified Block Format. You can easily find the differences by the showing slices. You can choose one of them to follow and practice it bit by bit.

Then we move to the structure of the letters.

The structure of letters includes 7 parts, first of all, we need to write the heading—the addressee’s address, then follows the dateline. The inside address usually under the dateline. For the main body part, we start with salutation; the body usually focuses on your purpose in this letter. After you finish the body, you need to give a complimentary close, such as: yours truly, sincerely yours. The last thing is the signature you need to sign. All these 7 parts make a whole structure. 

In this sample, you can find out the pattern of the whole structure. It’s really easy for you to write a good format if you follow this sample.

The following letter is written by Fiona k. Newell, director of LSU, Aston University, he writes back to a visiting scholar who has applied to study in England. The letter is tactfully worded. It chooses semi-block format.

Let’s read and analyze this letter together.

 

Analysis:

You will find that the format of the letter is easy to follow, like the heading, the addressee’s address, inside address and complimentary close. And social expression needs to be polite. As for the body part, try to write as specific as you can.

After we mentioned how to write a letter in a right format, these following principles need to be noticed:

First, make it clear and concise. Second, try to be complete and comprehensive. Third, be polite and considerate.

Let’s start from the first point, be clear and concise. Now, there is an example:

An increase in prices is essential due to the fact that there has been a rise in the cost of raw materials.

You will see that this sentence looks complex and tedious; it could be changed like this:

An increase in prices is essential due to arise in the cost of raw materials.

Second, try to be complete and comprehensive. Make sure that whether you finish these things:

1. If the information has been clearly expressed.

2. Have you answered all your questions?

3. Whether it covers who, when, where, what, why and other contents. (of course, not every letter should have these five Ws, but it's helpful to have them as a standard.)

Take the sample we mentioned before as an example. After a polite start, the author quickly replied to the purpose of the letter: they accepted the visiting scholar, and briefly introduced the conditions and requirements. This sample shows a perfect example with these principles.

Third, be polite and considerate.

 In the exchange of letters, the language of letter should try to be polite and appropriate, for example:

 

You will find that the customers prefer the latter, which will make an efficient communication in business letters.

Let’s go back to everything we have learned today. First, we learned how to write an envelope. Second, we learned about the three different formats of letters. Then a good example was shown. Finally, we also emphasize the principles of letters.
